About the role
Key responsibilities & impact- Meet the operational and service needs of Defenders of Wildlife at Headquarters, Field Offices, and remote working employees
- Provide back-up support to front desk and receptionist areas
- Open, organize, sort, and research incoming mail, documents, and catalogs
- Receive inbound deliveries from FedEx, UPS, DHL, USPS, and other vendors
- Deliver packages desk-side
- Order, receive, and deliver department supplies
- Receive incoming and outgoing messenger and courier packages
- Order shipping supplies
- Use copiers, scanners, mail openers, and labeling equipment
- Set up equipment, load materials, clear jams, and resolve simple malfunctions
- Restock and maintain office and pantry supplies
- Support conference room setup and video conferencing setup
- Perform data entry
- Assist with new-hire office setups
- Assist the building engineer with light building maintenance
- Welcome staff, visitors, and guests while monitoring building access and visitor sign-in/security procedures
- Maintain common areas, breakrooms, conference rooms, copy areas, and shared spaces
- Monitor shared spaces and report maintenance or equipment issues
- Reset conference rooms and prepare them for scheduled use
- Maintain pantry and beverage stations, including replenishing supplies, loading/unloading dishwashers, and cleaning surfaces
- Perform light office-environment maintenance and coordinate with janitorial vendors
- Inspect shared office spaces and communicate operational, maintenance, safety, or supply concerns to the Facilities Manager
- Perform other related duties as assigned
- No travel required
Requirements
What you’ll need- High school diploma or equivalent
- 1 year of relevant administrative experience
- Ability to interpret instructional documents such as safety rules, operating and maintenance instructions, and procedure manuals
- Ability to work independently and as part of a team
- Good time management skills
- Ability to multi-task and meet deadlines
- Strong sense of urgency
- Ability to maintain a clean, organized, and welcoming office environment
- Ability to identify facility, safety, or housekeeping concerns and take appropriate action independently or escalate as needed
- Ability to use Outlook to send and receive emails
- Ability to move objects up to 50 pounds
- Ability to perform essential duties and responsibilities satisfactorily
- 2+ years of experience preferred
