About the role
Key responsibilities & impact- Assist in preparing, managing, and tracking project documentation, including Service Reports, Daily Reports, Toolbox Talk records, Work Permits, and Safety Documents
- Coordinate document approvals, sign-in/sign-out records, filing, and document control
- Prepare and compile maintenance reports based on completed work scopes
- Develop and maintain report templates
- Review report content with engineers and ensure accurate, timely submission within contractual deadlines
- Collect, organize, and maintain engineering drawings, technical documentation, and project-related information
- Track document submission schedules and maintain document version control and records
- Coordinate with clients, engineers, and relevant stakeholders to ensure timely document submission and compliance with project requirements
Requirements
What you’ll need- Proven experience in document control or administrative support; experience in the offshore wind industry is preferred
- Strong organizational, document management, and communication skills
- Ability to collaborate effectively with engineers, clients, and project teams
- Ability to manage multiple tasks simultaneously with strong time management skills
- Proficient in Microsoft Office applications (Word, Excel, PowerPoint, and Outlook) and SharePoint
- Experience with document management systems is an advantage
- Detail-oriented with strong document management and problem-solving skills
- Experience in managing engineering documentation, maintenance reports, Work Permits, and Safety Documents is preferred
- Ability to independently search for, organize, and maintain engineering drawings, technical documentation, and related project information is an advantage
- Proficient in both written and spoken Mandarin and English
