About the role

Key responsibilities & impact
  • Arrange, coordinate, and schedule domestic and international flights for Duke Energy executives and Board members
  • Coordinate with the Managing Director Aviation Services to clarify trip plans, schedules, and requirements
  • Obtain required approvals for all flights
  • Coordinate with outside suppliers, FBOs, and charter companies supporting the Aviation Department
  • Work with handlers to support international travel
  • Interface with corporate security regarding executives' flight plans and schedules
  • Maintain current knowledge of FAA regulations and ATC procedures
  • Act as an authorized travel agent
  • Book, coordinate, and confirm ground transportation, hotel rooms, rental cars, and connecting commercial flights
  • Manage executives' personal travel documentation to meet FAA, IRS, and SEC requirements
  • Communicate trip detail confirmations to passengers and crews
  • Handle executives' special requests, including travel cost quotes, bookings, vehicle delivery, and accounting reconciliation
  • Maintain flight records according to Corporate Aviation, IRS, SEC, and FAA requirements
  • Maintain confidentiality of executive schedules and plans
  • Support Duke Energy Board of Directors with special travel needs and requirements
  • Communicate flight arrangements on behalf of Corporate Aviation with executives, executive assistants, security, and support services

Requirements

What you’ll need
  • Bachelor's degree
  • In lieu of a Bachelor's degree: High School/GED and 5 years of related work experience
  • Excellent customer service and communication skills in dealing with top corporate officers and directors
  • Attention to detail
  • Familiarity with FAA and NTSB documenting and reporting criteria
  • Ability to multitask and prioritize work under stressful conditions
  • Ability to work with sensitive and confidential information and maintain confidentiality
  • Previous experience as an aviation dispatcher
  • Preferred: 2–4 years of experience
  • Ability to work lawfully in the U.S. without employment-based immigration sponsorship, now or in the future
  • Ability to work on weekends and holidays as necessary
  • Ability to work any time of day or night as required
  • May be required to be on standby status if not on official vacation
