Senior Administrative Support

About the role
Key responsibilities & impact- Provide comprehensive administrative and executive-level support to senior managers and organizational staff
- Research and compile information for assigned projects, initiatives, and topics
- Review Contract Data Requirements List (CDRL) packages for format and content
- Prepare and coordinate clear, concise written communications, documents, correspondence, reports, and briefings
- Keep leadership informed of mission-related issues
- Monitor organizational taskings, initiatives, action items, deadlines, and progress
- Provide background materials for program events
- Disseminate program policy and initiative guidance
- Coordinate, document, monitor, and support meetings, conferences, and program events
- Schedule and set up physical and virtual meetings
- Prepare meeting background information and coordinate participants
- Maintain meeting minutes, attendance logs, action items, action officers, scheduling documents, equipment logs, and operating instructions
- Provide travel planning and execution support
- Provide Defense Travel System (DTS) administrative support
- Perform authorized Non-DTS Entry Agent responsibilities
- Perform authorized Commercial Travel Office/Commercially Billed Account reconciliation activities
- Support senior managers and organizational personnel with process improvement and procedural requirements
Requirements
What you’ll need- Experience providing executive or administrative support to DoD organizations
- Experience supporting senior managers and organizational staff in a professional administrative environment
- Ability to research, compile, organize, and present information related to projects, programs, and organizational initiatives
- Experience preparing professional correspondence, reports, briefings, and other written communications
- Ability to review documentation for appropriate format, content, completeness, and coordination
- Experience monitoring organizational taskings, action items, initiatives, and deadlines
- Experience coordinating and documenting meetings, conferences, and program events
- Ability to prepare and maintain meeting minutes, attendance records, action items, and supporting documentation
- Experience scheduling and supporting physical, video, and virtual meetings
- Experience providing travel planning and execution support
- Knowledge of Defense Travel System (DTS) administrative processes and applicable contractor limitations
- Ability to manage multiple priorities and assignments while maintaining accuracy and attention to detail
- Strong written and verbal communication, organizational, research, and problem-solving skills
- Ability to work independently and effectively support senior-level leadership and staff
- U.S. citizenship required
- Secret Clearance required
- Master's or Doctorate degree in a related field and 10 years of experience, including 5 years in DoD acquisition; OR bachelor's degree in a related field and 12 years of experience, including 5 years in DoD acquisition; OR 15 years of directly related experience with proper certifications, including 8 years in DoD acquisition
