About the role

Key responsibilities & impact
  • Provide comprehensive administrative and executive-level support to senior managers and organizational staff
  • Research and compile information pertaining to assigned projects, initiatives, and topics
  • Review Contract Data Requirements List (CDRL) packages for format and content
  • Prepare factual, clear, concise, complete, and appropriately coordinated written communications
  • Keep leadership informed of mission-related issues
  • Monitor progress toward organizational taskings and initiatives
  • Provide background materials for program events
  • Draft documents, correspondence, and other materials for leadership approval and signature
  • Disseminate program policy and initiative guidance
  • Coordinate, document, monitor, and support meetings and conferences
  • Schedule and set up physical and virtual meetings
  • Prepare meeting background information and coordinate participants
  • Maintain meeting documentation, attendance logs, minutes, action items, and action officers
  • Maintain scheduling documents and requirements for video and online conferencing
  • Maintain equipment logs and setup instructions
  • Provide travel planning and execution support
  • Provide Defense Travel System (DTS) administrative support
  • Perform authorized Non-DTS Entry Agent responsibilities
  • Perform Commercial Travel Office/Commercially Billed Account (CBA) reconciliation activities when authorized
  • Provide administrative and staff support while supporting process improvement and procedural requirements

Requirements

What you’ll need
  • Experience supporting senior managers and organizational staff in a professional administrative environment
  • Ability to research, compile, organize, and present information related to projects, programs, and organizational initiatives
  • Experience preparing professional correspondence, reports, briefings, and other written communications
  • Ability to review documentation for appropriate format, content, completeness, and coordination
  • Experience monitoring organizational taskings, action items, initiatives, and deadlines
  • Experience coordinating and documenting meetings, conferences, and program events
  • Ability to prepare and maintain meeting minutes, attendance records, action items, and supporting documentation
  • Experience scheduling and supporting physical, video, and virtual meetings
  • Experience providing travel planning and execution support
  • Ability to manage multiple priorities and assignments while maintaining accuracy and attention to detail
  • Strong written and verbal communication, organizational, research, and problem-solving skills
  • Ability to work independently and effectively support senior-level leadership and staff
  • U.S. citizenship required
  • High School Diploma/GED and at least five years of experience
  • Possible travel
  • Secret Clearance
