About the role
Key responsibilities & impact- Support one or more consultants in all aspects of client engagements.
- Plan, execute, and finalize projects according to strict deadlines.
- Proactively manage changes in project scope, identify potential crises, and devise contingency plans.
- Arrange candidate, client, business development, assignment-related, internal, and video-conference meetings.
- Prepare consultants for meetings and presentations, including documents, materials, reminders, and travel time.
- Manage complex calendars and prioritize meetings and calls.
- Attend meetings and take notes as needed.
- Coordinate complex travel plans, itineraries, agendas, and travel-related documents.
- Process consultant and candidate expense reimbursements.
- Compose, prepare, and edit confidential correspondence.
- Provide telephone, visitor, event-planning, reception, and ad-hoc administrative support.
- Maintain the global database with accurate client, candidate, internal, document, note, email, and appointment records.
- Support office operations and assist other Executive Assistants with work overflow.
- Serve as client and candidate liaison and single point of contact for key logistics.
- Communicate on behalf of consultants with clients, candidates, and internal teams.
- Assist with client needs during consultant absences.
- Coordinate with consultants and research stakeholders to meet deadlines and serve client and candidate needs.
- Produce high-quality client and candidate deliverables within designated timeframes.
- Prioritize conflicting needs and complete time-sensitive projects.
- Assist accounting with billing, client invoicing, and receivables.
- Build relationships with high-level executive candidates involved in confidential projects.
- Create and own processes supporting the consultant’s business development strategy.
- Collaborate on marketing presentations and materials and finalize materials for pitches and events.
Requirements
What you’ll need- Bachelor’s degree preferred.
- Minimum of 5 years’ experience serving in an administrative function.
- Ideally, experience within a professional services firm, financial institution, or executive search firm.
- Ability to manage multiple projects with set deadlines.
- Time management, pattern recognition, prioritization, diligent attention to detail, and judgment.
- Ability to work in ambiguous environments and under pressure.
- Problem-solving ability and resourcefulness.
- High motivation, strong work ethic, self-assurance, and ability to think on your feet.
- Exceptional interpersonal and communication skills, both oral and written.
- Ability to interact professionally with executive stakeholders and colleagues.
- Collaborative team-player mindset and track record of maximizing team and individual performance.
