About the role
Key responsibilities & impact- Provide support to project staff in the day-to-day operations of project teams on projects up to $5M with 50-100 onsite employees
- Ensure accurate weekly employee time tracking, obtain approval for timesheet discrepancies, and submit timesheets to Payroll
- Maintain and procure office supplies with Management approval
- Assist with new hire onboarding and IT hardware and permissions requests
- Maintain electronic project files
- Assist with invoice coding and approvals
- Request and track subcontractor insurance certificates
- Prepare and submit client billings and lien releases
- Obtain and submit client-specific contractual requirements and jobsite documentation
- Assist with permit applications and inspection scheduling
- Compile submittal and O&M/start-up books
- Review and distribute documents and correspondence to field personnel and key parties
- Communicate relevant project information to the project team
- Reconcile tool and rental equipment lists
- Manage the parking pass process
- Perform other duties as assigned
Requirements
What you’ll need- High School diploma or GED equivalent
- 3+ years of administrative experience
- Proficiency in Microsoft Word, Excel and Outlook
- Effective verbal and written communication skills
- Detail-oriented and willing to tackle various ongoing projects in a fast-paced environment
- Versed in the industry and the Company’s competitors
- Ability to multitask and perform duties outside of the scope of work when necessary
- 0-5% travel to job site(s)/office location
- Prolonged periods of sitting at a desk and working on a computer
- Repeating motions that may include the wrists, hands and/or fingers
- Light work including adjusting and/or moving objects up to 20 pounds
- Preferred: Construction administrator experience
- Preferred: College-level coursework and/or two years’ experience in construction management
- Preferred: Construction billing experience; AIA billing/Textura is ideal
- Preferred: Experience with Oracle/JD Edwards
- Preferred: Experience with Procure and/or Tri Build
