About the role

Key responsibilities & impact
  • Lead and supervise department staff
  • Ensure day-to-day operations run smoothly and efficiently
  • Prioritize and manage daily workflow for timely, high-quality completion of client inquiries and product lines
  • Ensure equitable distribution of work to achieve daily, weekly, and monthly goals
  • Create, coordinate, and review monthly client spreadsheets
  • Maintain accurate and current client and examinee information in systems and databases
  • Develop ad hoc and customized reports as required
  • Maintain daily contact with the QA department regarding workflow and pending report status
  • Maintain client relationships and meet client-specific requirements
  • Ensure compliance with federal ERISA and state mandates
  • Promote effective utilization of clinical resources and recommend improvements to management
  • Assist with physician and customer complaints or quality assurance issues
  • Provide backup for departmental positions
  • Advise management on consultant quality, availability, and policy compliance
  • Participate in policy and procedure development and implementation
  • Attend management meetings
  • Participate in educational and training activities
  • Perform other duties as assigned

Requirements

What you’ll need
  • High school diploma or equivalent required
  • Minimum of one to three years clerical experience, or equivalent combination of education and experience
  • Experience supervising in a medical office or insurance industry preferred
  • Knowledge of multiple software programs, including Microsoft Word, Outlook, PowerPoint, Excel, and the Internet
  • Ability to perform arithmetic calculations using whole numbers and decimals, including rates and percentages
  • Full understanding of HIPAA regulations and compliance
  • Ability to follow management instructions accurately
  • Accuracy and thoroughness
  • Exceptional communication skills
  • Ability to work independently, prioritize work, and use time efficiently
  • Ability to maintain confidentiality
  • Ability to promote a positive team-oriented environment
  • Ability to stay focused under normal or heavy distractions
  • Ability to work well under pressure or stressful conditions
  • Ability to manage change, delays, or unexpected events appropriately
  • Reliability and compliance with the company attendance policy
  • Experience working for an Independent Dispute Resolution Entity (IDRE) and knowledge of the Federal IDR/No Surprises Act process are significant pluses but not required
