About the role
Key responsibilities & impact- Provide coordination, legal clerical support, and administrative services to the legal management/procurement team
- Report to the Director of Legal Services
- Act as a contact for administrative needs, requests, and inquiries
- Type and format fund prospectuses and supporting documents, agreements, resolutions, correspondence, forms, minutes, and fund meeting materials
- Provide administrative support to prospectus and other regulatory filings
- Prepare material and provide support for Board meetings
- Process legal bill and external director fee payments
- Liaise with external and internal clients on administrative issues
- Perform general clerical duties, including filing, expense reports, and calendar management
- Assist with projects assigned by the legal department
- Provide administrative support to the procurement team
- Interact with all levels of the organization as well as external directors, clients, and contacts
Requirements
What you’ll need- Post-secondary education or equivalent work experience
- Minimum of 3-5 years’ experience as an Administrative Assistant
- Legal experience (corporate law) is preferred
- Executive experience is an asset
- Experience managing large and complex documents
- Strong written and verbal communication skills
- Attention to detail and strong organizational skills
- Ability to handle multiple tasks, meet strict deadlines and adapt to unique and changing expectations
- Ability to work in a fast-paced environment with minimal supervision while adopting a proactive approach
- Familiarity with fund prospectus documents is an asset
- Advanced knowledge of MS Office (Word, PowerPoint, Excel, and Outlook)
- Ability to manipulate large and complex documents easily and quickly, including tracking revisions, creating tables of contents, and importing tables
- Current work authorization for Canada is required
