About the role

Key responsibilities & impact
  • Serve as the primary point of contact and administrative partner to the Executive
  • Manage the Executive's calendar, resolve scheduling conflicts, prioritize requests, and communicate updates
  • Prepare, reconcile, and submit executive expense reports in compliance with Company policy
  • Coordinate domestic and international travel arrangements, including transportation, accommodations, agendas, visas/passports, and itinerary changes
  • Assist the Executive in preparing for meetings
  • Greet planned guests and professionally manage unannounced visitors
  • Coordinate Quality staff meetings, all-hands meetings, off-sites, and team events, including logistics and follow-up
  • Prepare, update, and organize reports, correspondence, presentations, and budgets
  • Edit documents for accuracy, formatting, and organization
  • Maintain and archive Outlook calendars, communications, and files according to records and retention schedules
  • Coordinate employee recognition, skip-level meetings, and Executive-employee interactions
  • Manage office supplies and administrative needs for the leadership team
  • Assist with special projects and other administrative duties as needed

Requirements

What you’ll need
  • High school diploma or GED
  • 2+ years of experience as an administrative assistant, executive assistant, coordinator, or project manager
  • 2+ years of Microsoft software experience, including Outlook, SharePoint, OneDrive, PowerPoint, Word, Excel, and related programs
  • Visa sponsorship is not available
  • Must be legally authorized to work in the United States
  • Verification of employment eligibility required at hire
  • Preferred: Bachelor's degree or professional associate's degree
  • Preferred: Prior experience supporting a senior executive with calendar management, travel coordination, and expense reporting
  • Preferred: Excellent writing, editing, and proofreading skills
  • Preferred: Ability to learn new software systems and cloud tools with ease
  • Preferred: Initiative in resolving issues or concerns
  • Preferred: Detail-oriented, organized, and excellent time management skills
  • Preferred: Integrity and confidentiality with sensitive information
  • Preferred: Ability to work independently with minimal supervision
