About the role

Key responsibilities & impact
  • Provide calendar and inbox support, including email drafting, prioritization, and meeting scheduling
  • Coordinate meeting, travel, and event logistics, including flights, hotels, and meeting rooms
  • Support the Research Operations Lead with repeatable, process-driven work
  • Maintain trackers, shared documents, and internal research records
  • Triage competing requests from senior colleagues
  • Build centralized tracking systems for fund commitments, capital inflows/outflows, and performance
  • Identify operational bottlenecks and recommend improvements
  • Coordinate grant tracking, timelines, committee coordination, approvals, and disbursements
  • Map donor and research pipelines and surface risks to senior leadership
  • Coordinate with funded organizations and co-funders
  • Manage ad hoc donor and funder requests and reporting obligations
  • Collaborate with Impact Analytics and Communications teams
  • Coordinate fund launches and reopenings, including the Animal Welfare Fund relaunch

Requirements

What you’ll need
  • Experience managing or supporting operations, multi-stakeholder projects, or data-heavy processes
  • Ideally, experience in grantmaking, consulting, or a fast-moving nonprofit environment
  • Comfortable using Salesforce, Notion, Asana, or Google Workspace
  • High attention to detail and flawless accuracy
  • Clear, proactive written communication with colleagues and external partners
  • Ability to manage multiple projects, stakeholders, and shifting priorities
  • Willingness to perform significant administrative work
  • Direct experience with philanthropic Funds, grantmaking operations, philanthropic services, or a foundation/donor-advised fund context preferred
