About the role
Key responsibilities & impact- Establish and maintain ongoing communication with operatives to monitor work progress
- Manage variations to schedules and appointments caused by unforeseen circumstances
- Act as the first point of contact for operative absence reporting
- Reschedule affected appointments and liaise with line managers regarding annual leave
- Monitor and review performance delivery in real time
- Adjust work diaries proactively to maximise available resources
- Receive and assess property-related enquiries
- Process requests into job orders, inspection visits or survey visits according to procedures
- Diagnose repair faults accurately
- Coordinate appointments and material supplies with customers, operatives and contractors
- Reschedule repair works and keep tenants informed
- Advance appointments where resources allow to minimise delays and disruption
- Uphold high standards of customer care
- Handle complaints and service failure issues professionally and promptly
Requirements
What you’ll need- Proven experience in property maintenance, repair planning or a similar coordination role
- Solid understanding of effective repairs and maintenance delivery
- Strong computer literacy
- Excellent written and numerical skills
- Ability to work accurately and efficiently across a range of systems
- Working knowledge of Microsoft packages, particularly Outlook and Excel
- Confidence learning new systems and software quickly
- Experience working as part of a multi-disciplinary team
- Experience collaborating with colleagues, contractors and stakeholders
- Experience gathering, analysing and interpreting complex technical data
- Ability to use technical data insights to inform decisions and improve service delivery
- Exceptional organisational skills
- Ability to prioritise a busy, reactive workload and manage competing demands and changing circumstances
