About the role
Key responsibilities & impact- Manage day-to-day physical office facilities, vendors, building maintenance, service agreements, and office supply procurement
- Handle physical mail, packages, deliveries, and corporate shipping protocols
- Maintain workplace safety guidelines and operational standards
- Track petty cash and local expense records with Finance
- Manage high-volume CEO meeting requests, prioritize internal and external demands, and proactively resolve schedule conflicts
- Book domestic and international travel, accommodations, and transportation
- Create detailed trip agendas
- Track laptop and hardware assignments, returns, and device conditions
- Collaborate with the internal IT team on asset management
- Process administrative invoices and track vendor billing cycles
- Submit expense reports
- Monitor monthly operational expenses against approved budgets
- Work with Finance to resolve budget discrepancies
Requirements
What you’ll need- Bachelor's degree in Business Administration, Management, Hospitality, or a related field preferred
- 10+ years of experience in office management, executive administration, facilities management, or a similar role
- Strong organizational and time-management skills with the ability to manage multiple priorities
- Experience managing executive calendars and coordinating complex schedules
- Experience with domestic and international travel coordination
- Strong vendor management and coordination skills
- Experience managing office supplies, facilities, and administrative operations
- Good understanding of expense tracking, invoice processing, and budget coordination
- Experience managing IT assets and inventory is preferred
- Strong written and verbal communication skills
- Proficiency with Microsoft Office/Google Workspace and common scheduling and collaboration tools
- Ability to work independently in a remote environment while coordinating effectively with teams and vendors
- Ability and willingness to periodically travel to and work from the company's Plano, Texas office when required
