About the role
Key responsibilities & impact- Provide administrative and operational support to the Project Management Office (PMO)
- Coordinate recurring and ad hoc meetings with client and project team members
- Schedule meetings, manage calendars, distribute invitations, and coordinate logistics
- Develop, maintain, and distribute meeting agendas
- Capture meeting minutes, decisions, action items, and follow-up activities
- Distribute meeting materials and minutes in a timely manner
- Track action items and follow up with owners
- Maintain project documentation, team distribution lists, and contact lists
- Assist with project status reports, presentations, dashboards, and governance materials
- Support document management and version control
- Coordinate PMO processes, templates, and standards
- Coordinate onboarding and offboarding activities for project team members
- Assist with access requests, introductions, orientation, access removal, and knowledge transfer
- Prepare and distribute project communications and notices
- Maintain project calendars and key event schedules
- Organize and store project artifacts in appropriate repositories
- Maintain project logs, trackers, and reporting tools
- Monitor assigned PMO activities and escalate issues when needed
- Support continuous improvement of PMO processes and procedures
Requirements
What you’ll need- Bachelor's degree or equivalent combination of education and experience
- Bachelor's degree in business administration, information technology, engineering or related field preferred
- Zero to two years of experience in project planning
- Experience working with project management methodology, including budget development, project planning, control and assurance methodologies, project management software, and finance and accounting concepts and practices
- Organizational skills to balance and prioritize work
- Good interpersonal and presentation skills for interacting with team members and clients
- Personal computer and business solutions software skills
- Analytical and problem solving skills
- Communication skills
- Ability to work in a team environment
- Ability to deal with ambiguity and change
- Video cameras must be used during all interviews and during the initial week of orientation
- Must be based within the United States
