About the role
Key responsibilities & impact- Prepare and process new account opening requests for individual, joint, trust, retirement, beneficiary, and other common account registrations
- Review client information for completeness and consistency before submitting paperwork or electronic signature packets
- Coordinate account type, titling, beneficiaries, funding instructions, and supporting documentation
- Track new account paperwork through signature, submission, approval, funding, and confirmation
- Prepare and submit move money requests, including journals, ACH instructions, checks, wires, distributions, and contributions
- Verify transaction details and escalate requests requiring additional review or advisor confirmation
- Monitor transaction status and provide timely updates
- Process beneficiary, title, address, contact, trusted contact, and other account maintenance updates
- Maintain accurate client records and identify downstream tasks involving household records, portal access, billing, or reporting
- Support death claims, beneficiary claims, inherited account openings, and related transition documentation
- Prepare and submit ACATS and other incoming asset transfer paperwork
- Track transfers through completion, including rejections, residual sweeps, delays, and follow-up
- Provide front desk and phone coverage as needed
- Deposit client checks
- Perform ad hoc reporting and data management across CRM and other technology platforms
- Deliver polished, responsive, professional internal and client-facing service
- Protect confidential client information and follow secure data-handling procedures
- Own assigned requests from start to finish and balance speed with accuracy
Requirements
What you’ll need- Prior client service, banking, financial services, administrative operations, or comparable professional experience
- Basic understanding of account ownership concepts, account registrations, beneficiary designations, or financial documentation preferred
- Strong attention to detail and ability to review paperwork for completeness and consistency
- Professional written and verbal communication skills
- Demonstrated ability to manage multiple requests, deadlines, and follow-ups at the same time
- Comfort handling confidential information and following documented procedures
- Willingness to learn custodial systems, CRM workflows, electronic signature processes, and firm-specific operating standards
- Experience with account types, client documentation, identity verification, transaction processing, and basic financial terminology is advantageous
- Willingness to learn custodial platforms, CRM workflows, electronic signature tools, client portal processes, document storage, Microsoft 365, and internal task management procedures
