About the role

Key responsibilities & impact
  • Provide complex and specialized executive administrative support to the Senior Aerospace Leadership Team (SALT) at GE Aerospace
  • Serve as the primary point of contact for internal and external constituencies regarding the SALT
  • Liaise with the board of directors and senior management teams as needed
  • Organize and coordinate executive outreach and executive relations efforts
  • Oversee special projects
  • Manage complex executive calendars, prioritize requests, troubleshoot conflicts, and make recommendations
  • Communicate directly and on behalf of the officer, supporting communication between the leader’s office and internal departments
  • Coordinate domestic and international travel, itineraries, transportation, lodging, travel communications, expenses, and VAT reports
  • Keep SALT members informed of commitments and responsibilities and follow up appropriately
  • Prioritize conflicting needs and complete projects under deadline pressure
  • Plan and organize logistics for meetings, training, and events, including transportation, hotels, catering, tickets, presentations, and documents
  • Develop agendas, coordinate and attend staff meetings, and prepare and distribute minutes
  • Maintain confidential filing and records-management systems and office procedures
  • Coordinate organizational mail and shipments and maintain office supplies and equipment inventories within budget
  • Support community responsibility events and activities
  • Identify credentials needed for employee and visitor access and comply with government regulations
  • Coordinate facilities activities, including workspace, office moves, floor plans, building issues, and office equipment
  • Apply established policies, procedures, and regulations to work problems
  • Manage Outlook contacts, correspondence, organization charts, phone lists, birthday lists, and stakeholder relationships

Requirements

What you’ll need
  • Bachelor's degree from an accredited university or college, or a high school diploma/GED with at least 10 years of related experience in Administration and Support
  • Minimum of 10 years’ experience as an administrator, including 3 years supporting high-level executives (Sr. Manager and above)
  • Knowledge of general office management and current computer/office communications technologies
  • Proficiency in Microsoft PowerPoint, Word, Excel, and Outlook
  • Ability to run reports in Excel, Access, and other data-gathering programs
  • Ability to input and update data into databases
  • Ability to adapt to changing priorities and schedules based on business demands
  • Availability to work outside standard business hours, including evenings, weekends, and holidays, as needed
  • Legally authorized to work in the United States
  • Successful completion of a drug screen, as applicable
  • Ability to handle confidential matters with discretion
  • Strong written and verbal communication, administrative, organizational, time-management, and interpersonal skills
  • Ability to work independently with minimal direction in a fast-paced, high-pressure environment
