About the role

Key responsibilities & impact
  • Coordinate and schedule patient appointments accurately and efficiently
  • Manage appointment confirmations, reschedules, and cancellations
  • Maintain provider schedules and optimize appointment availability
  • Process medication prior authorization requests
  • Communicate with insurance companies, pharmacies, providers, and patients regarding authorization status
  • Follow up on outstanding prior authorization requests
  • Verify patient insurance eligibility, coverage, and benefits before appointments
  • Document insurance information accurately in the EMR system
  • Identify and communicate coverage limitations or issues
  • Receive, process, and track incoming and outgoing patient referrals
  • Coordinate with referring providers, specialists, and insurance companies
  • Ensure referral documentation is complete, accurate, and attached to patient records
  • Follow up on pending referrals to facilitate continuity of care
  • Answer inbound calls professionally and courteously
  • Respond to patient inquiries, appointment requests, and administrative concerns
  • Maintain excellent customer service in a high-call-volume clinic environment

Requirements

What you’ll need
  • Excellent verbal and written communication skills
  • Strong organizational and time-management abilities
  • Ability to prioritize tasks effectively in a fast-paced environment
  • Strong attention to detail and accuracy
  • Ability to work independently while maintaining professionalism and accountability
  • Comfortable handling high call volumes and multiple administrative responsibilities simultaneously
  • Minimum of 1 year of experience as a Virtual Medical Assistant supporting a US-based clinic
  • Experience with appointment scheduling, insurance verification, and patient communication
  • Familiarity with healthcare workflows, medical terminology, and EMR systems
  • Experience managing referrals and coordinating patient care is preferred
  • Experience using eClinicalWorks (eCW) is preferred
  • Previous experience supporting a Neurology practice is preferred
  • Experience working in a busy clinic environment with high patient and call volumes is preferred
