About the role
Key responsibilities & impact- Independently plan and execute selected regional events, customer dinners, internal programs, smaller sponsorship activations, and other assigned events from initial planning through post-event closeout
- Support planning and execution of larger customer events, trade shows, executive programs, internal meetings, sponsorship activations, and other marketing experiences
- Coordinate event timelines, attendee registration, invitations, communications, venues, vendors, transportation, promotional items, event materials, shipping, and other logistics
- Partner with internal stakeholders and external vendors to gather requirements, track deliverables, manage details, and support timely execution
- Develop and distribute event invitations, registration communications, attendee updates, run-of-show materials, and post-event follow-up communications
- Coordinate production of signage, booth messaging, branded environments, presentation materials, attendee gifts, and promotional items
- Maintain event schedules, registration lists, budgets, planning documents, vendor information, project files, and organized content files
- Provide onsite event support, including registration, vendor coordination, material setup, attendee assistance, troubleshooting, and issue resolution
- Assist with post-event attendee follow-up, invoice coordination, budget reconciliation, feedback collection, and organization of event materials
- Develop and adapt marketing content using approved messaging, subject-matter-expert input, and campaign direction
- Write and edit marketing emails, event invitations, social media posts, website and landing pages, presentations, and digital or print materials
- Support customer stories, fact sheets, one-pagers, case studies, product or technology materials, event promotions, and follow-up communications
- Collaborate with subject matter experts to translate technical topics into clear, engaging, audience-appropriate content
- Adapt content across audiences and channels while maintaining H&P voice, brand standards, and messaging
- Proofread and edit materials for grammar, clarity, accuracy, style, consistency, and trademark usage
- Coordinate content reviews and approvals with Marketing, Communications, Commercial, technical experts, and other stakeholders
- Manage multiple assignments and competing deadlines; communicate project status, dependencies, decisions, and issues
- Build relationships across functions, regions, and organizational levels
- Participate in planning meetings and document decisions, responsibilities, deadlines, and next steps
- Follow brand, communications, legal, procurement, and approval processes
- Identify improvements to event planning, content workflows, project coordination, and attendee experiences
- Represent H&P professionally with customers, executives, employees, vendors, and industry partners
- Travel approximately 10% annually, with increased travel during spring and fall event seasons
Requirements
What you’ll need- Bachelor’s degree in Marketing, Communications, Public Relations, Business, Hospitality, Event Management, or a related field; equivalent relevant experience will be considered
- Five or more years of relevant experience in marketing, communications, event planning, hospitality, trade shows, or a related field
- Demonstrated experience planning and executing events, including managing logistics, vendors, timelines, attendee communications, and onsite needs
- Experience writing or developing marketing and communications content for internal or external audiences
- Demonstrated ability to independently manage smaller projects while supporting complex, high-visibility programs
- Proficiency with Microsoft 365 applications, including Outlook, Word, Excel, and PowerPoint
- Strong writing, editing, and proofreading skills
- Strong event-planning, organizational, and project-management abilities
- Exceptional attention to detail and follow-through
- Clear, professional verbal and written communication skills
- Ability to work effectively both independently and as part of a collaborative team
- Ability to manage changing priorities in a deadline-driven environment
- Sound judgment, resourcefulness, and a proactive approach to problem-solving
- Professional presence and discretion when supporting customers, executives, and high-visibility events
- Ability to understand technical information and identify the most relevant points for a specific audience

- Experience supporting customer events, trade shows, executive programs, or sponsorship activations
- Experience in the oil and gas, energy, industrial, or technical business-to-business sector
- Experience developing social media content, marketing emails, event communications, or digital content
- Familiarity with marketing automation, social media management, event registration, customer relationship management, or project-management platforms
- Experience collaborating with technical subject matter experts and translating complex information for broader audiences
- Ability to travel domestically and occasionally internationally as required
- Flexibility for limited evening or weekend work during events
