About the role

Key responsibilities & impact
  • Request and obtain medical records from healthcare providers
  • Collect medical records within tight timeframes and facilitate storage in secure organizational repositories
  • Track and document activity completely and accurately in all systems
  • Contact provider offices and facilities to request medical records and serve as the point of contact for medical record request inquiries
  • Identify and coordinate efficient retrieval methods, including onsite retrieval, secure electronic access, and secure web upload
  • Ensure complete EMR information is obtained and necessary information is retrieved
  • Prepare hard copy medical records for conversion into electronic images
  • Communicate with team members and external healthcare providers to meet strict project deadlines
  • Travel to provider offices, medical facilities, or Highmark campus to obtain and prepare medical records
  • Perform other duties as assigned or requested

Requirements

What you’ll need
  • 3 years of prior health care and/or health insurance experience, or related field
  • Proficiency in Microsoft Office Tools: Outlook, Excel, Word, Visio
  • Must complete all access requirements and requested forms, which may include providing a personal social security number and/or copy of photo identification
  • PDF viewer/reader/editor, scanners, flash drives, navigation of document repository, tracking requests, and maintaining issues logs preferred
  • Experience and familiarity with medical records, medical terminology, and Electronic Medical Record (EMR) or Electronic Health Record (EHR) systems preferred
  • Proficiency in navigating and retrieving clinical information from EMR/HER systems preferred
  • Working knowledge of HIPAA requirements and demonstrated commitment to privacy, security, and confidentiality of protected health information (PHI) preferred
  • Strong verbal and written communication skills
  • Demonstrated time management skills and ability to manage projects to a successful outcome
  • Well organized, with close attention to detail
  • Analytical ability to identify and resolve problems
  • Ability to work independently while offsite and in a team environment
  • Ability to adapt to change and respond to difficult and challenging situations professionally
  • Ability to handle multiple priorities and effectively prioritize tasks
  • Required education: High School/GED
  • Registered Health Information Technician (RHIT) preferred
  • No language other than English required
