About the role
Key responsibilities & impact- Set up and maintain files

- Gather, compile, and report information relevant to the supervisor's assignments
- Take and transcribe dictation as needed
- Coordinate critical administrative operations for the Director of the Nuclear Propulsion Test Engineering Department
- Coordinate visitor access, employee badging, travel accounting, IT and facility requests, clinic scheduling, workflow processes, calendar management, events, and employee recognition programs
- Process invoices, payroll adjustment forms, security clearance forms, and facility service requests
- Plan small events and staff meetings and document minutes/actions
- Organize directorate strategic documents and communications
- Provide food for working lunches
- Coordinate rewards and recognition programs
Requirements
What you’ll need- High School/GED and 6 years of additional education and/or experience
- U.S. Citizenship required
- Computer skills, administrative skills, or customer service skills required to execute the job efficiently
- Experience or ability to obtain training and qualification in scheduling and coordinating visitor protocols, including badging, parking, and pick-up plans
- Ability to manage department workflow, employee reporting relationships, and organizational hierarchy
- Ability to generate and process IT requests for computers, cell phones, and access needs
- Ability to prepare and submit travel accounting documents, including pre-trips/travel authorizations, approvals, bookings, and expense reports
- Ability to use ADTRAV and REZDESK for travel management
- Invoice processing using Process Director
- Rewards and recognition coordination and tracking
- Payroll adjustment forms processing
- Security clearance form processing
- Facility service requests
- Small event and staff meeting planning and minutes
- Organization of directorate strategic documents and communications
- Proficiency in Microsoft Outlook, Excel, PowerPoint, Visio, and SharePoint
- Ability to submit Drive-In tag requests
- Ability to plan meetings and document meeting minutes/actions
- Clinic notices and communications
- Badging support, including DBIDS and Red Badge
- Knowledge and experience with NNS systems and protocols preferred, including VMS, MyHR, CUAS, SMAX, ADTRAV, REZDESK, Process Director, FSRs, Drive-In tag requests, and access badges to SY or Naval Station locations
