About the role
Key responsibilities & impact- Provide administrative support to leadership team members, including scheduling across time zones, calendar management, booking flights, arranging travel, and tracking expenses
- Manage and act as gatekeeper to supported leaders’ calendars
- Support daily leadership-team duties and ensure leaders are prepared and organized
- Serve as a primary point of contact and communicate and problem-solve across People Ops, Construction, Tech, and other departments
- Plan and facilitate team events and meetings, including virtual and in-person offsites
- Support cross-functional ad hoc projects
- Assist leadership with project management, meeting preparation, and presentations
- Partner with the Senior Executive Assistant on additional ad hoc support and projects
- Use AI assistants and other technology to work faster and smarter
- Provide support wherever needed as priorities shift
Requirements
What you’ll need- 2–4 years of administrative experience, ideally supporting an executive or leader, in a fast-paced environment
- Excellent interpersonal, written, and verbal skills
- Ability to self-manage
- Extremely strong organizational skills and ability to prioritize conflicting needs
- Strong calendaring and customer service skills
- High proficiency in Google Workspace, including Calendar, Gmail, Slides, and Sheets
- Extreme care for data integrity and attention to detail
- Warm, welcoming demeanor and ability to work with a wide range of personalities
- Ability to manage sensitive and confidential information
- Ability to thrive in a fast-paced, hyper-growth environment and adapt to change
- Comfortable working independently in a remote environment
- Must be located in the United States
