About the role

Key responsibilities & impact
  • Contribute to department efficiency through analytical, project, and administrative functions
  • Interface with leaders and staff and interact externally as needed
  • Track and coordinate activities, reports, work group progress, key initiatives, and deliverables
  • Handle multiple priorities and interface regularly with senior leaders
  • Anticipate the director’s needs with a high level of self-direction
  • Administer projects and committees, including scheduling meetings, preparing agendas, documenting follow-up items, and maintaining documents on SharePoint
  • Resolve administrative and project-related inquiries and initiatives
  • Track, trend, and compile data and reports
  • Take minutes at direct report and project meetings and distribute them to staff
  • Ensure follow-up on action items and record key decisions
  • Serve as a liaison and central coordination point for departmental and division projects and activities
  • Provide administrative support including telephone coverage, correspondence, calendar management, and travel arrangements
  • Coordinate vendor visits and materials
  • Prepare presentations using input from multiple sources
  • Prepare staff listings and coordinate recruitment interviews for high-level candidates
  • Coordinate new employee departmental onboarding and location activities, including office space planning and equipment requests
  • Prepare and reconcile departmental administrative expense accounts within budget constraints
  • Perform other duties as assigned

Requirements

What you’ll need
  • High School Diploma/GED required
  • Requires three (3) years work experience in related field, preferably in an administrative function
  • IAAP Certification preferred
  • Knowledge of MS Project is preferred
  • General knowledge of health insurance industry preferred
  • Proficiency in MS Office Suite, including Word, Excel, and PowerPoint
  • Proven analytical skills
  • Proven ability to exercise sound judgment
  • Proven ability to ask probing questions and obtain thorough and relevant information
  • Detail oriented with strong organizational skills
  • Ability to follow detailed instructions
  • Proven problem solving skills
  • Ability to demonstrate flexibility and adapt to multiple responsibilities across multiple areas
  • Ability to effectively present information and respond to questions from groups of managers, clients, and customers
  • Effective verbal and written communication skills
  • Ability to work well within a team
  • Ability to interact and create positive working relationships with all levels of internal and external constituents and staff
  • Minimal travel required
  • Employees must live in New Jersey, New York, Pennsylvania, Connecticut, or Delaware
