About the role

Key responsibilities & impact
  • Contact patients approved for specialty services regarding next steps
  • Follow up on outstanding patient needs
  • Support provider scheduling, including managing availability and reschedules
  • Process payments accurately
  • Ensure orders, consent forms, and consultations are complete before patient visits
  • Maintain current lab results, orders, and patient records
  • Handle inbound calls about missed appointments and patient questions
  • Provide general administrative support and take on new responsibilities as the organization grows
  • Work with providers and the team to keep patient care running smoothly

Requirements

What you’ll need
  • High school diploma required
  • 1–2 years in an administrative or scheduling role
  • Experience in an administrative, scheduling, or customer service role
  • Strong organizational skills and ability to juggle multiple priorities
  • Excellent communication skills by phone and in writing
  • Familiarity with scheduling or e-commerce platforms such as BLVD or Shopify is a plus
  • Comfort learning new tools and software, including spreadsheets
  • Calm, adaptable approach to a fast-paced, ever-changing day
  • Ability to take initiative while working solo or as part of a team
  • Strong time management and critical thinking skills
  • Strong attention to detail
  • Prolonged periods sitting at a desk and working on a computer
  • Reliable internet access and a quiet, dedicated workspace for handling patient calls
  • Ability to competently perform all essential functions, with or without reasonable accommodation
