About the role

Key responsibilities & impact
  • Independently manage calendars, changing priorities, deadlines, and follow-ups associated with files and initiatives
  • Coordinate business travel arrangements and prepare expense reports
  • Develop, maintain, and update files, databases, and systems for confidential information
  • Manage, monitor, and coordinate sponsorship payment requests, including documentation validation, approvals, and budget tracking
  • Follow up on decisions, actions, deliverables, and next steps from meetings, committees, and governance bodies
  • Ensure classification, organization, and document management for the Vice-President’s office
  • Plan, coordinate, and prepare meetings and events
  • Support management systems, dashboards, and performance indicators
  • Prepare agendas, PowerPoint presentations, surveys, workshops, briefing materials, and meeting and event follow-ups
  • Recommend and implement administrative and operational best practices and process improvements
  • Support the Vice-President’s internal communications
  • Participate in drafting, revising, proofreading, translating French/English, and formatting executive-level documents
  • Analyze Salesforce data to identify trends, produce reports, make observations, and recommend actions
  • Perform other related duties

Requirements

What you’ll need
  • College Diploma (DEC) in Office Technology, Administration, or a related field, or an equivalent combination of education and experience
  • 3 to 5 years of relevant experience in an executive assistant or senior administrative support role, ideally supporting executive leadership
  • Excellent command of Microsoft 365 suite: Word, Excel, Outlook, PowerPoint, Teams, and OneNote
  • Experience with artificial intelligence tools such as Copilot
  • Comfortable using digital tools and social media, such as LinkedIn
  • Eagerness to learn and leverage new technologies, software, or applications, such as Salesforce
  • Proactivity
  • Organizational and planning skills
  • High level of discretion
  • Sound judgment
  • Advanced English proficiency, including verbal and written collaboration with unilingual English-speaking internal and external partners
  • Experience coordinating cross-functional projects or corporate events is an asset
