About the role

Key responsibilities & impact
  • Own state and district RFP responses and instructional materials adoption submissions
  • Manage complete submissions from initial review through confirmed receipt
  • Read solicitation documents, rubrics, attachments, and addenda
  • Build compliance matrices covering eligibility criteria, required responses, evidence, forms, submission rules, and deadlines
  • Develop project plans with owners, milestones, review cycles, and internal deadlines
  • Manage multiple submissions simultaneously
  • Identify disqualifiers, unclear requirements, and resource constraints
  • Prepare clarification questions and escalate decisions requiring leadership or specialist input
  • Write executive summaries, curriculum narratives, implementation plans, and other substantive proposal responses
  • Tailor responses to state or district priorities, evaluation criteria, and scoring rubrics
  • Translate curriculum and product expert input into explanations of instructional design, standards alignment, research, assessment, differentiation, and implementation support
  • Verify claims and supporting evidence
  • Coordinate standards alignment materials, research documentation, pricing, certifications, contractual exceptions, samples, and reviewer access
  • Review and edit contributor materials and consolidate drafts
  • Conduct final completeness, accuracy, consistency, and compliance checks
  • Complete portal uploads and coordinate electronic or physical delivery
  • Retain submission records and confirm receipt before deadlines
  • Maintain a calendar of state adoption windows and district RFP opportunities
  • Partner with Sales to assess eligibility, product fit, and submission readiness
  • Provide bid/no-bid recommendations
  • Maintain an organized library of approved narratives, evidence, standards documentation, and submission materials
  • Track submission outcomes and request evaluator feedback
  • Improve workflows and quality checks to prevent recurring errors and reduce rework

Requirements

What you’ll need
  • Typically 4–7 years of related experience in proposal writing and management
  • Experience managing state or district education RFPs, instructional materials adoption submissions, or comparable public-sector procurements
  • Excellent writing and editing skills
  • Experience serving as the primary writer of persuasive, evidence-backed proposals
  • Ability to interpret detailed solicitation requirements
  • Ability to build compliance matrices
  • Ability to write to formal evaluation criteria
  • Strong project management skills
  • Record of coordinating contributors and meeting overlapping deadlines
  • Exceptional attention to detail and accountability for final submission accuracy and completeness
  • Ability to work independently, determine an effective approach to new assignments, resolve problems, and improve processes
  • Ability to learn and clearly explain pre-K/TK, elementary social studies, and elementary core ELA curricula, including instructional approaches and implementation requirements
  • Preferred: experience with educational publishing, curriculum procurement, or state instructional materials reviews
  • Preferred: familiarity with early childhood instruction, inquiry-based social studies, knowledge-building ELA, and the science of reading
  • Preferred: experience preparing standards alignment documentation or coordinating curriculum evidence for formal reviews
  • Preferred: APMP certification or training in an established proposal methodology
  • Must be U.S. based
