About the role

Key responsibilities & impact
  • Secure services for client bookings and generate accurate, up-to-date final travel documents
  • Manage booking queues, reservations and requests
  • Balance availability and logistics with client needs and preferences
  • Confirm accommodation, restaurants, activities, excursions, guides and transportation using phone, email and online reservation systems
  • Monitor, book and schedule Tour Leaders and freelance tour leaders using the Master Planner
  • Maintain relationships with suppliers and external partners
  • Input accurate reservation details into Axum for client Info Packs and Travel Consultants
  • Record service costs in Axum and liaise with Finance on supplier invoices and refunds
  • Quality-check bookings and itineraries before generating final travel documents
  • Generate and manually update Info-Packs and prepare tickets
  • Monitor shared inboxes and assist Sales teams with queries, issues and requests
  • Conduct quality control of Group Tour bookings, planning tasks, sending reminders and correcting client documents
  • Collaborate across InsideJapan Tours and InsideAsia Tours as needed

Requirements

What you’ll need
  • Passion for Japan/Asia as a travel destination
  • Strong geographical and logistical understanding of Japan
  • Experience coordinating and confirming a diverse range of travel arrangements
  • Well-developed problem-solving skills and ability to use own initiative with confidence
  • Independence and strong organisation skills; ability to handle a volume of complex tasks simultaneously
  • High level of productivity and accuracy, sometimes under tight time pressures
  • High quality communication/interpersonal skills in emails, in-person and on the phone
  • Proficiency in MS Office (Excel, Word, Power Point, Outlook, Teams and SharePoint)
  • Japanese language skills sufficient for day-to-day business communication, reading itineraries and travel documentation, and liaising with Japanese stakeholders
  • Advanced level of English, written and spoken
  • Legal right to work in the UK; no visa sponsorship provided
