About the role
Key responsibilities & impact- Open/Close building at the designated time and have front desk activities fully operational at the start of business
- Secure building according to agency protocols, including arming and disarming alarm and checking all areas prior to closing
- Verify insurance and services covered under Medicaid/Medicare or private insurance and obtain authorization
- Pull and review incoming faxes; process or distribute to appropriate staff or departments
- Sort and distribute incoming mail, supplies, and courier bag content
- Gather demographic information over the phone or in person
- Determine provider availability and verify intake information with clients or guardians
- Schedule client appointments for BHMP and Primary Care
- Coordinate scheduling for taxicabs and translation
- Scan and import case material according to agency procedures
- Update electronic client files with changes in address, phone number, fee, or other pertinent information
- Process medical records requests, including review, approval, and uploading into CIOX
- Help stock and maintain the food pantry
- Process, balance, and maintain gas cards and bus passes for client distribution
- Add and expire alerts in client charts
- Monitor services provided to clients and input appointment data
- Answer incoming calls and coordinate inquiries effectively
- Ensure accurate information in the OTTO platform for virtual appointments
- Document all client and stakeholder contact with Doc Only notes
- Create morning bank; balance cash; create daily batch; review, sign off, and create nightly deposit
- Complete assigned reports and projects for the Operations Coordinator or Operations Manager
- Print daily and weekly site reports, including Medication Reports
- Complete month-end Meter Report, QT Card report, and Bus Pass Log report
- Create new charts when needed
- Work Closure list MS-14 and MS-12 report; notify manager when CL-01 falls out of compliance
- Post and remove holiday and updated building postings
- Maintain supply orders, kitchen supplies, resource book, and site phone list
- Deliver supplies to staff weekly
- Create or edit staff schedules as needed
- Follow up on issues when the Manager is unavailable
- Send documents to AFLS website for translation and maintain billing files
- Train new Operations and site staff on appointment scheduling procedures
- Train Operations staff in NextGen
- Perform other duties as assigned
Requirements
What you’ll need- Experience working in a community clinic, hospital or healthcare facility
- Experience working with and gathering client data
- Experience in working in high volume customer service data center
- Knowledge of Electronic Medical Record systems and the ability to learn computer applications
- High School Diploma or GED
- Must be able to perform the essential functions of the job including prolonged sitting and in certain positions driving, lifting 20lbs, walking, standing and executing dexterity with a keyboard or smart pad
