About the role
Key responsibilities & impact- Use Filevine, Chartsquad, Microsoft Office Suite, Kofax PDF, Outlook, and RingCentral to complete daily responsibilities
- Provide administrative and case-related support to case managers
- Assist with case management tasks as requested
- Review and organize medical documentation accurately
- Manage assigned tasks independently while keeping supervisors and case managers informed of relevant updates
- Order medical records from healthcare providers and other relevant sources
- Review medical reports to determine which additional records need to be ordered
- Follow up on outstanding medical record requests to ensure timely receipt
- Identify missing or incomplete medical records and take appropriate follow-up action
- Monitor medical record request status and maintain accurate records of pending items
- Send text messages to clients as needed
- Maintain clear and organized documentation within case management systems
- Communicate professionally with clients, medical providers, and internal team members
Requirements
What you’ll need- Location : Las Vegas, Nevada
- Time Zone: PST
- Office Hours: 8:30 AM to 5:30 PM PST
- Executive Assistant position supporting a personal injury law firm
- Solid understanding of medical terminology and ability to accurately interpret medical terms and reports
- Previous experience working with medical records, personal injury law firms, legal case management, or a related field is highly desirable
- Strong attention to detail when reviewing reports and determining which medical records need to be requested
- Comfortable working independently and following through on pending requests
- Fast and accurate typing skills
- Proactive approach and ability to anticipate needs and take appropriate action
- Expected call volume: 6 to 15 calls per day
- Strong written and verbal English communication skills
- Ability to work independently with minimal supervision
- Strong organizational and follow-through skills
- Ability to review and interpret medical reports accurately
- Ability to prioritize multiple tasks and manage deadlines
- Strong administrative and case support skills
- Reliable and consistent work ethic
- Professional and courteous communication style
- Ability to adapt to established processes and case management systems
- Proficiency with Filevine, Chartsquad, Microsoft Office Suite, Kofax PDF, Outlook, and RingCentral
