About the role

Key responsibilities & impact
  • Manage important case information and coordinate client documentation
  • Support legal workflows for adoption, surrogacy, and assisted reproduction matters

  • Provide inclusive and compassionate support to LGBT individuals and families
  • Track outstanding invoices and follow up as directed
  • Follow up with leads and prospective clients regarding representation agreements
  • Prepare and send representation agreements
  • Support legal assistants with administrative and case management tasks
  • Monitor pending tasks and ensure timely completion
  • Communicate with clients, agencies, and team members professionally and empathetically
  • Review and finalize redlined contracts based on attorney instructions
  • Manage appointments and update required fields in Clio
  • Maintain organized electronic client files
  • Save email attachments and supporting documents in Dropbox
  • Review the firm’s email inbox and route messages appropriately
  • Assign tasks and deadlines according to established workflows
  • Manage client and case information in Clio
  • Convert prospective matters into active cases
  • Enter referrals and prospective client information into Clio
  • Respond to agency referral emails
  • Enter information accurately from client forms and supporting documents

Requirements

What you’ll need
  • Full-time position
  • Monday through Friday
  • Working hours from 8:00 a.m. to 5:00 p.m. Pacific Time
  • Advanced English proficiency is required
  • Spanish proficiency is welcome but not required
  • Previous family law experience is not required
  • Previous legal assistant, legal administrative, case management, or records management experience is preferred
  • Experience working with sensitive or confidential information is preferred
  • Strong data entry and document management abilities are required
  • Familiarity with legal documents, court filings, or pleading preparation is preferred
  • Must be comfortable supporting clients from diverse cultural backgrounds and members of the LGBT community
  • Must have reliable internet access and a suitable remote workspace
