About the role
Key responsibilities & impact- Support prospective and active families throughout their experience with the company
- Guide families from initial inquiry through onboarding
- Coordinate student placements with Executive Function coaches and literacy specialists
- Coordinate placements, schedules, cancellations, coverage, coach availability, and system updates
- Follow up on outstanding issues, inactive clients, pending commitments, and unresolved matters
- Respond to client inquiries and escalate concerns when needed
- Create and maintain accurate client profiles and potential-client records
- Coordinate meetings, schedules, events, trainings, and day-to-day operations
- Monitor communication channels, calendars, deadlines, records, and administrative tasks
- Serve as an administrative point of contact for active families
- Ensure forms and agreements are completed
- Communicate scheduling procedures, policies, and next steps during onboarding
- Track referral sources and maintain accurate lead information
- Call prospective clients to discuss services and answer basic questions
- Monitor incoming calls, emails, text messages, website inquiries, and referrals
- Follow up on intake forms, agreements, payment information, and onboarding requirements
- Move qualified leads from initial inquiry to active client
- Gather student, family, service, availability, and location information
- Match students with appropriate coaches based on needs, qualifications, location, personality, and availability
Requirements
What you’ll need- Must work CST time zone
- Approximately 16 to 30 calls per day
- Excellent command of English, written and spoken
- Strong availability and reliability during scheduled working hours
- Dependable internet and power access
- Demonstrated job stability and longevity in previous positions
- Experience in education, client services, administrative coordination, sales, customer service, or a related field is beneficial
- Ability to work independently and recognize when escalation is needed
- Highly proactive and self-directed
- Strong time management and organizational skills
- Excellent communication and professional interpersonal abilities
- Strong customer service orientation
- Strong attention to detail and accuracy
- Comfortable working under pressure in a fast-paced environment
