About the role

Key responsibilities & impact
  • Maintain accurate and up-to-date information within the firm's practice management system
  • Seek clarification when instructions are unclear and apply feedback to improve future performance
  • Proactively identify work opportunities and assist team members when needed
  • Organize, label, and maintain legal files and case documentation
  • Prepare basic legal documents and correspondence using approved templates
  • Add hearings, meetings, deadlines, and case-related events to firm calendars
  • Monitor upcoming deadlines and communicate with attorneys and paralegals regarding pending tasks
  • Support multiple active matters while managing competing priorities and deadlines
  • Maintain confidentiality and professionalism when handling sensitive legal information
  • Provide administrative and legal support to attorneys and paralegals
  • Support prospective client screening activities following training and established procedures
  • Conduct approximately three to four outbound follow-up calls per week to prospective or existing clients as needed
  • Assist with prospective client scheduling and follow-up activities
  • Follow up with clients regarding outstanding documentation and case-related requirements
  • Send routine correspondence to clients, opposing counsel, and other parties as directed
  • Take accurate notes during internal meetings and case discussions
  • Assist with preparing timelines and organizing information related to active matters
  • Review documents carefully to ensure accuracy before submission or distribution
  • Update forms, pleadings, and legal documents with case-specific information
  • Enter and update client information, contact details, case information, and important dates

Requirements

What you’ll need
  • Previous experience as a Legal Assistant, Administrative Assistant, Litigation Assistant, or similar support role preferred
  • Plaintiff-side litigation experience preferred but not required
  • Strong organizational and time management skills
  • Exceptional attention to detail and accuracy
  • Excellent verbal and written communication skills in English
  • Ability to manage multiple priorities and meet deadlines
  • Ability to work independently while collaborating effectively with a legal team
  • Professional judgment and discretion when handling confidential information
  • Comfortable communicating with clients and external parties via phone and email
  • Ability to receive feedback constructively and apply it to future work
  • Availability to work Monday through Friday, 8:00 AM to 5:00 PM Pacific Standard Time
  • Familiarity with practice management systems, CRM platforms, VOIP phone systems, email platforms, calendar management tools, internal communication tools, and Microsoft Office Suite or Google Workspace
