About the role

Key responsibilities & impact
  • Assist the project team with financial and administrative tasks supporting project delivery for a financial services client
  • Manage end-to-end project financials in PMWeb, including transaction processing, purchase order administration, and invoice lifecycle management
  • Ensure documentation compliance with contracts and regulatory requirements and monitor payment status across systems
  • Perform quality control on financial processes from budgeting through final payment
  • Maintain data integrity across project systems and generate financial reports to track status and identify issues
  • Implement document management practices and coordinate with Project Managers to align responsibilities
  • Monitor project health metrics and vendor compliance and validate documentation authenticity
  • Support financial reconciliation during project closeouts, including final lien waiver processing and commitment adjustments
  • Identify process enhancements, implement innovative project management practices, and drive continuous improvement initiatives
  • Facilitate communication among team members, project stakeholders, and vendors
  • Maintain accurate, organized, and accessible project documentation
  • Ensure adherence to vendor agreements regarding fees and processes
  • Review and process project budgets, vendor proposals/bids, change orders, and invoices within the financial system
  • Assist vendors and clients with questions and tracking for purchase orders, change orders, and invoicing
  • Collaborate with operations to create presentations, trainings, playbooks, guides, and other project deliverables

Requirements

What you’ll need
  • 0–2 years practical experience
  • Strong written and verbal communication skills, with excellent customer service and presentation abilities
  • Ability to think and work independently, demonstrate initiative, and collaborate effectively with multiple individuals on various projects to meet assigned deadlines
  • Proficiency with Microsoft Office Applications, including Word, Excel, and PowerPoint, Teams and Zoom
  • Interest in the commercial real estate industry, property management, and gaining broad experience in various aspects of Commercial Real Estate
  • Detail-oriented, organized, and creative mindset, with a proactive and self-motivated attitude
  • Previous accounting, construction, or real estate support experience preferred
  • Bachelor’s degree in Accounting, Business, Architecture, Engineering, or Construction Management preferred
  • Candidates must be authorized to work in the United States without sponsorship
  • 40 hours per week, Monday through Friday
  • Time entry required
