About the role

Key responsibilities & impact
  • Manage approved headcount and open requisitions, verifying required approvals and documentation
  • Reconcile hiring activity against approved headcount and identify discrepancies
  • Track requisitions from approval through closure and resolve aging, stale, paused, or unapproved requisitions
  • Support position-control and workforce-governance processes across ATS, HRIS, position-management tools, organizational structures, and workforce plans
  • Own day-to-day Applicant Tracking System processes, including data integrity, job postings, candidate dispositions, workflows, templates, and compliance
  • Maintain job descriptions and recruiting templates and troubleshoot workflow and data discrepancies
  • Coordinate interview scheduling, candidate communications, and recruiting logistics
  • Partner with recruiters, hiring managers, People Services, Finance, and other stakeholders on recruiting progress and workforce reporting
  • Prepare and coordinate approved offer letters and pre-employment documentation
  • Coordinate background checks, reference checks, hiring handoffs, employee-record creation, employment eligibility processes, orientation, and onboarding
  • Maintain candidate contact through the confirmed start date and coordinate the transition to new hire
  • Own recruiting dashboards and reports covering requisitions, aging, time-to-fill, time-to-hire, pipeline conversion, source effectiveness, offer acceptance, withdrawals, recruiter workload, and hiring trends
  • Analyze and present talent acquisition, headcount, contingent workforce, and recruiting performance metrics
  • Provide ad hoc workforce-planning and hiring-strategy analysis
  • Coordinate contingent workforce and staffing-agency administration, including requests, submissions, starts, extensions, conversions, and offboarding
  • Maintain contingent-worker rosters and records of agency terms, rates, markups, conversion provisions, tenure, and performance
  • Coordinate billing reconciliation with Finance and monitor contingent-worker conversion eligibility and assignment expirations
  • Support staffing-vendor processes and relationships

Requirements

What you’ll need
  • 2+ years of experience in recruiting coordination or talent acquisition operations supporting a high-volume, multi-state, distributed workforce preferred
  • 3–5 years of experience preferred
  • Experience administering an ATS and producing reports
  • UKG Ready experience preferred
  • Experience coordinating staffing agencies, temporary labor, or contingent workforce processes
  • Bachelor's degree in Human Resources or a related field required, or an equivalent combination of education and relevant experience
  • Proficiency with Applicant Tracking Systems
  • Must present a valid government-issued photo ID during screening and/or interviews
  • Must consent to photograph capture during the screening or interview process for identity verification, security, and record-keeping purposes
