About the role

Key responsibilities & impact
  • Draft engagement and introductory letters for new litigation matters
  • Coordinate intake and setup of new litigation matters
  • Review Litigation Approval Forms, obtain required documentation, and ensure timely matter creation
  • Assign litigation approvals to appropriate attorneys and monitor timely processing
  • Open and maintain litigation matters in Vision
  • Maintain accurate matter information and electronic and physical files
  • Schedule Zoom and other virtual meetings, reserve conference rooms, coordinate calendars, and manage meeting logistics
  • Coordinate with attorneys, paralegals, clients, opposing counsel, courts, process servers, and other third parties
  • Assist with filing, service, routing, and distribution of litigation documents
  • Process and distribute incoming mail, checks, and legal documents; prepare outgoing mail and shipments
  • Assist with docketing and calendaring court dates, hearings, deadlines, and litigation events
  • Prepare, organize, and distribute materials for meetings, hearings, depositions, and other proceedings
  • Provide administrative support to attorneys and paralegals on active litigation matters
  • Track checks and other payments received by the Litigation Department
  • Perform other duties as assigned

Requirements

What you’ll need
  • Previous experience in a law firm or legal environment preferred
  • Experience supporting attorneys in a litigation practice preferred
  • Working knowledge of legal terminology, court procedures, and the litigation process preferred
  • Strong organizational, time management, and prioritization skills
  • Ability to manage multiple assignments and meet deadlines in a fast-paced environment
  • Excellent attention to detail, accuracy, and proofreading skills
  • Strong written and verbal communication skills
  • Ability to maintain confidentiality and exercise discretion with sensitive information
  • Ability to work independently while collaborating effectively with attorneys, paralegals, and other team members
  • Proficiency in Microsoft Office Suite
  • Experience with legal software and case management systems such as iManage, Juris Suite, Vision, LexisNexis, and PACER preferred
  • Must be legally authorized to work in the United States
