About the role

Key responsibilities & impact
  • Manage the operational relationship with assigned customers as the primary liaison with internal departments
  • Receive, enter, track, and fulfill customer orders according to contractual terms
  • Monitor the full order cycle from receipt through final delivery
  • Provide customers, partners, distributors, agents, and sales teams with timely order updates and change notifications
  • Collaborate with distributors, agents, program teams, and sales teams on order management
  • Manage order approvals and modifications through platforms such as iChange
  • Manage internal and external customer requests through ServiceNow
  • Monitor high-risk and PCA-related orders, communicating delays and action plans when necessary
  • Support support-contract tracking and return merchandise authorization requests
  • Maintain positive relationships with customers, strategic partners, and internal teams
  • Keep order, contract, RMA, and account-management documentation organized and current
  • Prepare periodic reports on order status, customer-service indicators, and compliance metrics
  • Collaborate with finance, logistics, production, quality, and IT to resolve order issues
  • Accurately enter, update, and store data in ERP, ServiceNow, and iChange
  • Participate in internal and external audits
  • Support training and feedback for new Order Management team members
  • Propose process and workflow improvements
  • Represent the department in interdepartmental meetings
  • Comply with Integrated Management System and internal-control requirements

Requirements

What you’ll need
  • Bachelor’s degree in Business Administration, International Business, International Trade, or a related field (preferred)
  • Minimum of 2 to 4 years of experience in customer service, order management, or customer service-related areas in industrial or manufacturing environments
  • Previous experience using ERP systems, preferably SAP, and order management platforms
  • Experience working in coordination with cross-functional teams such as sales, logistics, finance, and quality
  • Experience in multinational companies or manufacturing/export industries is desirable
  • Intermediate-advanced English, spoken and written, for communication with international clients and teams
  • Clear oral and written communication in Spanish and English, with a minimum of 70% English
  • Customer service orientation and timely issue resolution
  • Organization and time management for handling multiple orders simultaneously
  • Analytical thinking for identifying order risks and proposing solutions
  • Advanced proficiency in Microsoft Office: Excel, Word, Outlook, and PowerPoint
  • Knowledge of order management and customer administration processes
  • Knowledge of ERP systems such as SAP and ticket management platforms such as ServiceNow
  • Familiarity with logistics workflows, billing, returns/RMA, and support contracts
  • Knowledge of quality standards and procedures: ISO 9001, 14001, 18001, 27001, and 22301
