About the role

Key responsibilities & impact
  • Manage intake, tracking, and end-to-end signing workflows for high-volume customer contracts, forms, and service agreements through e-signature tools such as DocuSign
  • Monitor document status, identify missing information or signatures, follow up with stakeholders and external parties, and confirm document completion
  • Archive executed files in central repositories
  • Support completion, standardization, and execution of customer-facing and external forms, including vendor onboarding packets, tax setup forms, and compliance questionnaires/certifications
  • Coordinate with Finance, People Operations, IT, Sales, HR, InsideTrack, Mainstay, and other teams regarding legal documents and pending contract or signature requests
  • Maintain a repository of pre-approved Lemnis information for standardized responses
  • Support legal department operations through filing, document management, drafting letters and correspondence, and corporate entity maintenance
  • Assist attorneys and paralegals with formatting, proofreading, comparing versions, preparing clean execution copies, and organizing supporting materials
  • Maintain and update legal templates, playbooks, file organization, folder structures, and procedural documentation
  • Maintain contract management systems and trackers such as Smartsheet, ensuring records are current, organized, and retrievable
  • Oversee weekly or biweekly intake, scanning, and digital routing of physical mail and incoming payments at the Lemnis Beaverton office
  • Handle confidential and sensitive information with discretion and attention to access controls
  • Perform other duties as assigned to support the Legal team and organizational growth

Requirements

What you’ll need
  • 4–6 years of experience in a legal administrative assistant or legal assistant role, within a corporate legal department, law firm, or fast-growing organization
  • Hands-on experience administering DocuSign (or similar e-signature platforms) across high-volume contract workflows
  • Experience completing administrative/vendor onboarding forms and certifications
  • Exceptional organizational skills, attention to detail, high degree of accuracy, and ability to manage multiple competing priorities and deadlines in a fast-paced setting
  • Strong written and verbal communication skills; comfortable interfacing with internal stakeholders at various levels
  • Proficiency with electronic signature tools (e.g., DocuSign), standard office software (Google Workspace, Microsoft Office, etc.), and contract/project management systems (Smartsheet, Jira Service Management, Confluence)
  • Practical project coordination skills, including maintaining trackers, following up on action items, and communicating status clearly
  • Collaborative, service-oriented, proactive, and resourceful approach to supporting attorneys, paralegals, business partners, and cross-functional teams
  • Genuine passion for education and commitment to Lemnis’s mission of empowering the "Unlimited Learner"
  • Associate degree or relevant certification
  • Current Notary Public commission or willingness to obtain certification
  • Experience in an organization undergoing rapid growth, mergers and acquisitions, integration, restructuring, or significant process change is a plus
  • Paralegal Certificate preferred
