About the role

Key responsibilities & impact
  • Oversee front office daily activities for assigned practice group locations
  • Ensure quality customer service for in-person and remote patients and clinicians
  • Create a positive work environment and support clinician and staff engagement activities
  • Prepare patient schedules and ensure paperwork, documentation, payment information, demographics, and charts are complete
  • Perform general office duties to keep practices running smoothly
  • Monitor the Practice Group phone queue and align resources with incoming call demand
  • Coordinate Practice Coordinator efforts to achieve KPIs
  • Implement new practice-level processes
  • Fill front office staffing gaps and ensure resource availability
  • Provide customer service and manage sensitive or difficult patient situations using crisis and de-escalation processes
  • Manage front desk check-in and check-out
  • Support patients by phone, email, and portal with billing, payment, scheduling, and release requests
  • Triage urgent patient issues and escalate or route them appropriately
  • Collect in-person and telehealth copayments and account balances
  • Complete insurance eligibility verification and resolve issues with patients
  • Provide administrative support to clinicians, including letters and faxes
  • Coordinate with clinicians on patient questions
  • Audit clinician schedules for appointment accuracy
  • Troubleshoot Practice Coordinator workflow issues and implement solutions
  • Lead onboarding and on-the-job training for new Practice Coordinators
  • Ensure front office coverage across the Practice Group
  • Maintain a pleasant, secure, and motivational working environment
  • Travel between assigned locations throughout the week

Requirements

What you’ll need
  • High School or equivalent required
  • 2+ years of demonstrated success in a healthcare operations role or 1+ year exceptional performance in similar role or setting
  • Ability to multitask and prioritize duties to support delivery of high-quality patient experience
  • Ability to work independently and as a team member
  • Excellent written and verbal communication skills
  • Proficient in computer software applications, including Microsoft Office and EMRs
  • Comfortable handling sensitive and confidential information under HIPAA
  • Flexibility to travel between locations throughout the week
  • Willingness to work 100% onsite
  • Ability to sit, stand, bend, talk, hear, and walk
  • Ability to lift and/or move objects up to 25 pounds
  • Required vision abilities include close, distance, color, peripheral, and depth perception, and ability to adjust focus
