About the role

Key responsibilities & impact
  • Oversee front office daily activities for assigned practice group locations
  • Ensure quality customer service for in-person and remote patients and clinicians
  • Create a positive work environment and support in-office clinician and staff engagement activities
  • Prepare patient schedules and ensure paperwork, documentation, payments, demographics, and charts are complete and accurate
  • Perform general office duties to keep practices running smoothly
  • Monitor the Practice Group phone queue and align resources with incoming call demand
  • Coordinate Practice Coordinators to achieve KPIs
  • Lead implementation of new practice-level processes
  • Fill front office staffing gaps and ensure practice group coverage
  • Provide customer service and manage difficult or sensitive patient situations using crisis and de-escalation processes
  • Manage front desk check-in and check-out
  • Support patients via phone, email, and portal with billing, payment, scheduling, and release requests
  • Triage urgent patient issues and escalate or route them appropriately
  • Collect in-person and telehealth co-payments and account balances
  • Complete insurance eligibility verification and resolve issues with patients
  • Provide clinicians with administrative support, including letters and faxes
  • Coordinate with clinicians regarding patient questions
  • Audit clinician schedules for appointment accuracy
  • Troubleshoot workflow issues for Practice Coordinators
  • Lead onboarding and on-the-job training for new Practice Coordinators
  • Maintain a pleasant, secure, and motivational working environment
  • Travel between assigned practice group locations throughout the week

Requirements

What you’ll need
  • High School or equivalent required
  • 2+ years of demonstrated success in a healthcare operations role, or 1+ year exceptional performance in a similar role or setting
  • Ability to multitask and prioritize duties to support delivery of high-quality patient experience
  • Ability to work independently and as a team member
  • Excellent written and verbal communication skills
  • Proficient in computer software applications, including Microsoft Office and EMRs
  • Comfortable handling sensitive and confidential information (HIPAA)
  • Flexibility to travel between locations throughout the week
  • Willingness to work 100% onsite
  • Ability to sit, stand, bend, talk, hear, walk, and lift/move objects up to 25 pounds
  • Associates/bachelor’s degree preferred
