About the role

Key responsibilities & impact
  • Manage front office daily activities for the practice location
  • Ensure quality customer service for in-person and remote patients and clinicians
  • Create a positive work environment and support in-office clinician and staff engagement activities
  • Conduct schedule preparation, ensuring paperwork, documentation, payment information, demographics, and patient charts are complete and accurate
  • Perform general office duties, including mail sorting, document scanning, e-faxes, shared office email, cleanliness, and upkeep
  • Communicate with peers, clinicians, and patients to support patient care and clinician satisfaction
  • Greet and check patients in and out
  • Respond to patient needs and manage sensitive situations using crisis and de-escalation processes
  • Support patients via phone, email, and portal with billing, scheduling, release requests, and other inquiries
  • Manage phone-system queues and answer calls promptly
  • Assist with telehealth access, Patient Portal issues, and troubleshooting
  • Triage urgent patient issues, direct them to appropriate departments, and escalate as needed
  • Collect in-person and telehealth copayments and account balances
  • Complete insurance eligibility verification and resolve related issues with patients
  • Provide clinicians with administrative support, including sending letters and faxes
  • Coordinate with clinicians regarding patient questions
  • Audit clinician schedules for appointment accuracy
  • Maintain a pleasant, secure, and motivational practice environment

Requirements

What you’ll need
  • High School or equivalent required
  • 1+ years of experience in healthcare operations, customer service, or similar role or setting preferred
  • Ability to multitask and prioritize duties
  • Ability to work independently and as a team member
  • Strong written and verbal communication skills
  • Proficiency in computer software applications, including Microsoft Office and EMRs
  • Comfortable handling sensitive and confidential information under HIPAA
  • Ability to sit, stand, bend, talk, hear, and walk
  • Ability to lift and/or move objects up to 25 pounds
  • Required vision abilities include close, distance, color, peripheral, and depth vision, and ability to adjust focus
