About the role
Key responsibilities & impact- Perform all core functions of the Practice Coordinator role while providing support across a defined state/region
- Backfill planned and unplanned staffing gaps
- Support practices experiencing increased volume or operational demand
- Deliver high-quality front office operations and exceptional customer service to in-person and remote patients and clinicians
- Create and maintain a positive, supportive, and professional working environment
- Support in-office clinician and staff engagement activities
- Prepare patients by ensuring paperwork, documentation, credit card information, demographics, and charts are complete and accurate
- Handle mail, sort and scan documents, send e-faxes, manage shared office email and Teams messages, and maintain office organization and cleanliness
- Respond promptly and appropriately to patient needs
- Apply crisis and de-escalation processes
- Greet and check patients in and out
- Support patients via phone, email, and portal with billing, scheduling, release requests, and other inquiries
- Manage phone queues and answer calls promptly
- Assist with telehealth access, Patient Portal issues, and troubleshooting
- Triage urgent patient needs and escalate to internal partners
- Collect co-payments and outstanding balances
- Complete insurance eligibility verification and resolve related issues with patients
- Provide clinicians with administrative support, including sending letters and faxes
- Partner with clinicians to resolve patient questions or concerns
- Audit clinician schedules for accuracy and completeness
- Contribute to a pleasant, safe, organized, and motivational practice environment
Requirements
What you’ll need- Ability to commute to a variety of offices within a defined regional radius
- Strong multitasking and prioritization skills
- Ability to work both independently and collaboratively in a team environment
- Clear and effective written and verbal communication skills
- Proficiency in computer software applications, including Microsoft Office and EMRs
- Ability to manage sensitive and confidential information under HIPAA
- High School or equivalent required
- Minimum of 1+ years of experience in healthcare operations, customer service, or a similar role or setting preferred
- Ability to sit, stand, bend, talk, hear, and walk
- Ability to lift and/or move objects up to 25 pounds
- Valid driver’s license required
- Ability to travel by automobile to multiple locations required
