About the role

Key responsibilities & impact
  • Provide dedicated administrative and organisational support to 5–8 Global Senior leaders
  • Manage complex diaries and coordinate meetings
  • Handle incoming communications and correspondence on behalf of executives
  • Act as the leader’s representative in face-to-face meetings
  • Build and maintain relationships with internal stakeholders, clients, and key contacts
  • Coordinate town halls and offsite events with onsite support teams
  • Arrange complex, multi-sector travel itineraries and accommodation
  • Handle complex expense processes using the in-house travel tool and team, ensuring policy compliance
  • Ensure appropriate security measures for travel in high-risk areas
  • Maintain executive compliance records, including gifts and entertainment
  • Support expense processes, including claims, purchase orders, and supplier setup
  • Work cohesively within the Executive Function
  • Identify continuous-improvement opportunities for the Executive Support community
  • Provide holiday cover for other EA partners as required

Requirements

What you’ll need
  • Validated experience supporting an Executive / Senior Leader with 5 to 8 years
  • Experience in a financial services company or other driven or fast-paced environment highly desirable
  • Polished and professional communication and organisational skills
  • Strong stakeholder management skills
  • Ability to adapt to working in a highly matrixed, multicultural, and diverse organization
  • Resilience, tenacity, and tact
  • Flexibility, discretion, and ability to respect confidentiality
  • Appetite for hard work and dedication to the required work hours
  • Calm demeanour and ability to function well under pressure
  • Strong teamwork and collaboration across a matrixed environment
  • Planning, organising, and resource-management skills
  • Ability to establish rapport and build positive relationships and networks
  • Clear and precise communication, including presenting complex or technical information concisely for the audience
  • Proficiency with Microsoft® and other company-supported applications
