About the role

Key responsibilities & impact
  • Own end-to-end promotional speaker program operations from intake planning through execution, reconciliation, documentation, and closeout
  • Oversee vendor performance across logistics, attendee management, reporting, documentation, and service delivery
  • Monitor vendor performance against expectations, timelines, KPIs, and SLAs; identify risks and drive resolution
  • Ensure programs comply with SOPs, business processes, contractual requirements, and compliance standards
  • Manage speaker bureau operations, including onboarding, contracting coordination, fair market value documentation, training requirements, utilization monitoring, and administration
  • Manage speaker program exception requests, including review coordination, tracking, documentation, resolution, and follow-up
  • Reconcile and validate speaker-related expenses to support aggregate spend reporting
  • Maintain complete, accurate, audit-ready documentation and support quality assurance reviews
  • Submit speaker program materials into Veeva and coordinate updates, re-approvals, and availability
  • Develop and maintain trackers, dashboards, reports, and operational metrics
  • Analyze activity, utilization, training, compliance, and vendor performance data to identify trends and recommendations
  • Lead speaker program portals, vendor systems, data interfaces, troubleshooting, and system enhancements
  • Provide operational guidance and subject matter expertise to field personnel
  • Manage stakeholder communications, training, and change management
  • Lead cross-functional follow-up on program issues, open items, and operational risks
  • Support broader Commercial Operations workstreams, including fleet, stipend, and pharmaceutical sample distribution programs
  • Evaluate processes for standardization, simplification, automation, and continuous improvement

Requirements

What you’ll need
  • Accredited Bachelor’s degree
  • 6+ years of relevant experience in compliance, healthcare, life sciences, or related field
  • Strong understanding of healthcare compliance regulations, including FDA, PhRMA Code, and Anti-Kickback Statute
  • Strong analytical and organizational skills
  • Effective communication and collaboration skills
  • Detail-oriented with ability to manage multiple tasks
  • Proficiency in Microsoft Office, including Excel, PowerPoint, Word, and Teams
  • Willingness/ability to travel up to 30% domestically; international travel may be required
  • Preferred: exposure to auditing, monitoring, or compliance investigations
  • Preferred: experience working with data sets and reporting tools
  • Preferred: basic project coordination experience
  • Preferred: familiarity with document management systems and compliance tools
  • Preferred: intermediate Excel skills
