About the role

Key responsibilities & impact
  • Conduct audits of engagement letters to ensure compliance with the Firm’s policies, regulatory requirements, and client obligations.
  • Verify that engagement letters are complete, accurate, and consistent with approved templates and standard provisions.
  • Identify potential compliance issues and escalate them as required.
  • Track audit results and prepare reports highlighting trends and risks.
  • Provide training to legal assistants and lawyers on engagement letter requirements and processes.
  • Collaborate with lawyers, legal assistants, and relevant professionals to address identified gaps.
  • Maintain records related to reviews, audit results, and corrective actions.
  • Contribute to the development and updating of templates, standards, and best practices.
  • Manage the administration of the Outside Counsel Guidelines (OCG) process, including client registrations in Intapp Intake, outside counsel referrals, key client lists, and terms in Intapp Terms.
  • Review outside counsel requests and coordinate the collection of supporting documentation.
  • Coordinate the review of outside counsel, engagement agreements, and related documentation.
  • Ensure compliance with policies governing external legal service providers and relationship management.
  • Track engagement renewals, terminations, and other key milestones.
  • Serve as a point of contact for internal stakeholders regarding outside counsel matters and requirements.
  • Prepare compliance and outside counsel activity reports, metrics, and dashboards.
  • Identify process improvements and contribute to the implementation of operational efficiency measures.
  • Lead the development, updating, and communication of policies and procedures.
  • Assist in providing training and guidance to Firm personnel.
  • Maintain confidentiality and handle sensitive information with discretion and professionalism.
  • Perform other duties as assigned.

Requirements

What you’ll need
  • Post-secondary education or equivalent experience related to database management principles.
  • Three to five years of relevant experience, ideally in a legal or professional services environment.
  • English/French bilingualism required.
  • Excellent verbal and written communication skills.
  • Ability to handle sensitive information with discretion and professionalism.
