About the role

Key responsibilities & impact
  • Create legal and other documents through copy typing, transcription, scanning and other methods
  • Convert styles, perform mail merges, insert media into presentations, cross-reference, index and create tables
  • Work with financial tables, graphs, objects and graphics applications
  • Proofread and check documents for formatting, spelling, grammar, sense and clarity
  • Compare document versions, check revisions and correct document corruption
  • Develop working knowledge of the Firm’s document-production procedures and precedents
  • Respond promptly to requests, meet deadlines and collaborate with departments and individuals across the Firm
  • Use word-processing expertise on complex legal and other documents
  • Manage workload fluctuations with minimal supervision
  • Perform quality control, seek clarification and review others’ work as required
  • Assist and mentor other team members
  • Manage intake, prioritization and coordination of document production and support requests as required
  • Provide firm-wide document production support using Microsoft Word, Excel, PowerPoint, Visio and other applications
  • Document, log, track and respond to calls, emails, voicemail and drop-bys
  • Manage escalations and retain ownership of document-production support issues
  • Track calls, research issues and update the knowledge base
  • Review procedures and recommend solutions for document production and support
  • Perform other duties as assigned

Requirements

What you’ll need
  • College certificate (office administration, legal specialization, or related)
  • Three years of experience in a professional work environment
  • Experience in a document production role is an asset
  • Knowledge of legal terminology, documents and procedures is an asset
  • Advanced proficiency in Microsoft Suite (Outlook, Word, Excel, PowerPoint)
  • Excellent interpersonal skills and telephone manners
  • Ability to correspond effectively and respectfully with DSG clients
  • Ability to transfer knowledge using a variety of techniques and software applications
  • Patience, flexibility and ability to manage difficult situations
  • Strong organization, meticulous attention to detail and proofreading skills
  • Ability to handle pressure/stress
  • Well-developed analytical and problem-solving skills
  • Capability to adapt to different work schedules, including weekends and statutory holidays where applicable
  • Ability to work independently, prioritize and make day-to-day decisions
  • Ability to type 80–100 words per minute
  • Bilingualism in French and English is required for bilingual shifts/position
  • Minimum 2 years of experience in document management stated for the role
