About the role
Key responsibilities & impact- Provide daily administrative support to lawyers and clients.
- Manage emails, calendars, files, deadlines, and client-related activities.
- Anticipate work requirements, manage priorities, and prepare meetings and briefings.
- Coordinate internal and client meetings, including agendas, rooms, catering, and technology support.
- Arrange lawyers’ travel and prepare itineraries in accordance with applicable policies.
- Provide backup support within the team and manage multiple competing tasks and deadlines.
- Prepare, edit, format, print, scan, and review a variety of legal and administrative documents.
- Proofread documents and check formatting, spelling, grammar, and clarity.
- Open, maintain, organize, and retrieve paper and electronic files, including complex legal and precedent files.
- Create, maintain, and store client files using the records management system.
- Receive, monitor, assess, and process emails, mail, faxes, and telephone calls.
- Prepare responses, route communications, and respond to routine client inquiries.
- Collaborate with lawyers, billing assistants, collections teams, and Finance to process invoices, overdue payments, client openings and KYC files, and conflict checks.
- Coordinate conferences, meetings, and events, including logistics, communications, catering, equipment, RSVPs, and travel.
- Coordinate business development activities, client entertainment, distribution lists, and sponsorship requests.
- Update client relationship management systems and track preferences, meetings, and meeting notes.
- Draft, review, and organize practice management, business development, and client-related documents.
- Coordinate and assign tasks among Resource, Billing, Finance, IT, Facilities, and other teams.
- Participate in training on new tools and train lawyers through one-on-one demonstrations.
- Support other lawyers and members of the Legal Support Services team.
- Manage confidential firm and client information.
Requirements
What you’ll need- Legal assistant diploma, university certificate, or university degree in office administration or information and communications technologies, or equivalent.
- At least 10 years of experience as a legal assistant.
- Advanced proficiency in the Microsoft Office suite (Outlook, Word, Excel, PowerPoint).
- Familiarity with HiQ, iManage, and Salesforce.
- Extensive knowledge of business and legal terminology.
- Strong word-processing, spelling, proofreading, and editing skills.
- Ability to complete tasks quickly and accurately.
- Critical-thinking skills to plan, organize, and proactively solve problems.
- Strong time-management, organizational, and multitasking skills.
- Ability to work under pressure and meet demanding deadlines.
- High level of service, tact, respect, and professionalism.
- Ability to follow up on files and outstanding matters with minimal supervision.
- High level of discretion and confidentiality.
- Flexibility to work occasional overtime.
- Exceptional written, verbal, and interpersonal communication skills.
- Fluency in French and English, both spoken and written.
- High level of English writing, comprehension, reading, and oral communication skills; more than 60% of the work is conducted in English.
