About the role
Key responsibilities & impact- Prepare, edit, format, print, scan, and proofread correspondence, memoranda, litigation documents, reports, forms, labels, and other documents.
- Coordinate and assign tasks to various resource groups and ensure their timely completion.
- Proofread documents and verify their clarity, formatting, spelling, and grammar.
- Assist lawyers in preparing for and coordinating hearings and trials.
- Record and monitor appearance dates, pleadings, and filing requirements.
- Prepare basic pleadings and other visual materials for use in court.
- Coordinate service and filings with process servers and the Court.
- Schedule and coordinate examinations, expert testimony, and other hearings; manage the collection of evidence.
- Manage files, including opening, organizing, retaining, and retrieving paper and electronic files.
- Maintain lawyers’ calendars, meetings, appointments, deadlines, and client-related activities.
- Coordinate lawyers’ travel arrangements and prepare itineraries and expense reports.
- Update contact information in the client database.
- Coordinate client meetings and room logistics, catering, and audiovisual equipment.
- Review, route, prepare, and process mail and faxes.
- Receive, screen, and direct calls; respond to routine inquiries and take messages.
- Assist with the preparation and daily closing of time entries.
- Collaborate with the Finance Department to open client and matter files.
- Coordinate activities with functional departments.
- Support other legal assistants during absences or periods of tight deadlines.
- Maintain and update professional knowledge through training and perform other duties as assigned.
Requirements
What you’ll need- Legal assistant diploma or equivalent.
- At least ten years of experience as a legal assistant in labour and employment law.
- Bilingual proficiency in French and English, both spoken and written.
- Highly proficient in English writing, comprehension, and reading, along with advanced English oral communication skills.
- Thorough knowledge of legal terminology and court rules and procedures.
- Exceptional attention to detail and superior word-processing, spelling, proofreading, and editing skills.
- Ability to perform tasks quickly and accurately.
- Excellent time-management skills to meet tight deadlines.
- Strong organizational skills and versatility; ability to work under pressure.
- Ability to follow up on files while meeting deadlines, with minimal supervision.
- Highest level of discretion and respect for confidentiality.
- High degree of flexibility and willingness to work overtime when necessary.
