About the role

Key responsibilities & impact
  • Prepare, edit, format, print, scan and revise correspondence, memoranda, litigation documents, reports, forms, labels and other materials
  • Coordinate and disperse tasks among resource groups and ensure timely completion
  • Proofread documents and check formatting, spelling, grammar and clarity
  • Assist lawyers with preparation and coordination of hearings and trials
  • Record and monitor court appearance dates, pleadings and filing requirements
  • Prepare basic court pleadings and courtroom visuals
  • Coordinate service and filing of proceedings with agencies and courts
  • Schedule and coordinate discoveries, expert witnesses and court-designated hearings
  • Monitor evidence gathering
  • Maintain knowledge of legal terminology, court rules, procedures and applicable medical terminology
  • Manage large and complex files and maintain filing and retrieval systems
  • Maintain calendars, key dates, meetings, appointments, due dates and client-related activities
  • Coordinate lawyer travel arrangements, itineraries and travel expense reports
  • Update client database contact information
  • Coordinate client meetings, rooms, catering and audio-visual equipment
  • Review and route incoming mail and faxes and process outgoing communications
  • Screen and direct incoming calls and respond to routine client inquiries
  • Assist with daily time-entry preparation and finalization
  • Coordinate new Client and Matter openings with Finance for KYC
  • Coordinate activities with functional area staff
  • Provide backup support and perform other assigned duties
  • Maintain and update job knowledge and technical skills through education opportunities

Requirements

What you’ll need
  • Legal Assistant Diploma or equivalent
  • Minimum 10 years of experience as a litigation legal assistant
  • In-depth knowledge of legal terminology, court rules and procedures
  • Experience with conflicts checks and highly confidential matters
  • Strong attention to detail
  • Superior word processing, spelling, proofreading and editing skills
  • Capacity to perform duties with speed and accuracy
  • Strong time management, organizational and multi-tasking skills
  • Ability to work under pressure to meet important deadlines
  • Ability to follow up on files and delays with minimal supervision
  • High level of discretion and confidentiality
  • Flexibility to occasionally work overtime
