About the role

Key responsibilities & impact
  • Provide advanced administrative and operational support to faculty of the epidemiology program
  • Manage complex calendars of department leaders using independent judgment based on priorities and resources
  • Arrange meeting space and coordinate meeting/seminar requirements, including food ordering and technology devices
  • Prepare and proofread memos, reports, presentations, and manuals
  • Assist with department projects, including conducting research, analyzing and summarizing data, and preparing reports and spreadsheets
  • Serve as the key resource within the department for administrative matters
  • Answer and direct calls, schedule meetings, update calendars, answer email inquiries, order office supplies, update departmental website and documentation, and greet/escort visitors
  • Prepare travel, financial, and HR-related paperwork

Requirements

What you’ll need
  • High school degree and 4+ years administrative work experience or a bachelor's degree and 2-4 years of administrative work experience
  • Experience in a healthcare environment preferred
  • Ability to work proactively and independently and follow through on tasks and projects
  • Advanced Microsoft Office software skills (Word, Excel, PowerPoint, Outlook) and relevant office applications
  • Experience with both PC and Mac software preferred
  • Outstanding communication and interpersonal skills
  • Excellent communication skills and ability to interact across all levels in a confident, professional manner
  • Able to independently resolve issues and questions
  • Flexible to adapt to new projects as required for the support of the group
  • Capable of successfully prioritizing tasks
  • Good decision-maker, with proven success at taking initiative and making timely decisions that keep the organization moving forward
