About the role
Key responsibilities & impact- Coordinate complex calendars across multiple executives, including internal meetings, external engagements, and travel logistics
- Prepare agendas, briefing materials, and action trackers
- Attend select meetings to capture notes and ensure timely follow-through
- Arrange domestic and international travel, including itineraries, accommodations, and expense reconciliation
- Serve as a gatekeeper and point of contact for internal and external stakeholders
- Draft and manage correspondence with professionalism and discretion
- Assist with cross-functional projects, leadership offsites, and strategic planning sessions
- Track deliverables and deadlines
- Handle sensitive information with confidentiality, professionalism, and integrity
- Ensure executives’ preferences are reflected in daily operations
- Manage logistics for leadership events and engagements
Requirements
What you’ll need- 6 years relevant experience with Bachelors in related field; 4 years relevant experience with Masters in related field; or High School Diploma or equivalent and 10 years relevant experience
- Exceptional organizational and time-management skills
- Strong written and verbal communication abilities
- Proficiency in Microsoft Office Suite and collaboration tools (e.g., Teams, SharePoint)
- Proactive and reliable approach to daily responsibilities, with the ability to anticipate routine needs
- Clearance eligibility (if required)
- Experience supporting multiple executives simultaneously preferred
- Familiarity with DoD protocols and executive-level government interactions preferred
- Calm under pressure, with a high EQ and professional presence preferred
- Ability to manage competing priorities with grace and precision preferred
