About the role
Key responsibilities & impact- Process and maintain donor and gift data daily
- Accurately record gifts using supporting documentation, donor intent, fund allocation, program coding, and pledge schedules
- Maintain, optimize, and ensure integrity of the Blackbaud Raiser’s Edge NXT CRM donor database
- Run reports, oversee dashboards, conduct audit confirmations, and support data quality initiatives
- Prepare daily gift deposits and assist with reconciliations
- Import careGIVER voluntary payroll deductions into Raiser’s Edge
- Produce quarterly fund balance memos and distribute reports to designated fund account representatives
- Train staff on data-entry policies, procedures, and protocols; update documentation and training materials
- Respond to gift-making inquiries and coordinate with accounting/finance on fund setup and transfers
- Investigate and resolve fund-related issues
- File and maintain complete, retrievable gift batches and pledge documentation
- Support development staff with transaction processing, mailing lists, and periodic fundraising reports
- Generate gift receipts and acknowledgments; manage pledge reminders and outstanding pledges
- Prepare end-of-year tax letters through Raiser’s Edge
- Perform additional duties as assigned
- Work closely with philanthropy offices and accounting/finance staff to ensure accurate transaction recording, timely receipting, and accessible data
Requirements
What you’ll need- Associate's Degree in business finance, healthcare administration, or related field — Required
- Relevant experience accepted in lieu of Associate's degree
- 2-5+ years in gift processing, healthcare philanthropy operations, finance, or data management — Required
- Direct experience with a constituent relationship management (CRM) donor database system, such as Blackbaud Raiser’s Edge NXT or Salesforce — Required
- Exceptional attention to detail and accuracy in high-volume transactional environments
- Strong data integrity mindset, including auditing, validation, and database hygiene
- Advanced proficiency in Excel, including sorting, filtering, and pivot tables
- Comfort working with large datasets
- Ability to manage daily gift processing deadlines, including deposits, receipting, and batch entry
- Strong organizational and workflow management skills
- Ability to identify and resolve discrepancies across donor records, gift entries, and financial reports
- Clear and professional communication skills
- High level of discretion with sensitive donor and patient-related information
- Process-driven approach and ability to follow procedures while identifying efficiency improvements
- Service-oriented responsiveness to stakeholders
- Working knowledge of healthcare philanthropy gift processing standards, including pledges, soft credits, tribute gifts, matching gifts, and restricted funds
- Familiarity with HIPAA considerations for grateful patient programs and data handling
- Basic understanding of accounting principles, reconciliation, fund tracking, and audit support
